Fleet Management System (Software Solution)

Brookhaven Science Associates, LLC (BSA) is conducting market research to identify qualified vendors capable of providing a cloud-based fleet management system to support the management, compliance, and reporting requirements of a fleet of approximately 600–700 vehicles and equipment assets.

The desired solution shall be a Software-as-a-Service (SaaS) platform that provides an integrated, centralized system for fleet operations, including asset management, maintenance and work order tracking, inspections, reporting, and system integration.

The system must include, at a minimum, the following capabilities:

• Centralized asset lifecycle management for vehicles and equipment
• Work order management and preventive maintenance scheduling (time and mileage-based)
• Electronic Driver Vehicle Inspection Reports (DVIR) with digital signature capability
• Native mobile application enabling field users to perform inspections, manage work orders, and upload photos/documentation
• Real-time reporting and analytics, including maintenance costs, fuel usage, and asset utilization
• Integration with telematics (GPS-based systems) and fuel management systems
• Cloud-based architecture with role-based access and real-time data availability
