QUESTION* AND ANSWER Bus Chaperone Services SOLICITATION # 19SA7026Q0003 Q1. Can you confirm the exact daily schedule for morning and afternoon shifts, including pick-up and drop-off windows? Pick up and drop off may vary based on schools, we have 5 drop off location and all pick up is in the DQ Q2. Are the 16 active chaperones assigned to fixed routes, or will the routes rotate on a weekly or as-needed basis? Rotation is okay, but must be the same 16 Q3.
Will chaperones be picked up from their residences, or will there be a designated meeting point where all chaperones are expected to report before each shift? Residence pick-up Q4. Should the 4 standby chaperones remain physically on-site, on-call, or available within a specific response time? Should be on call Q5. Will the Embassy conduct background checks for the selected chaperones, or is the contractor responsible for providing and verifying them? Yes Q6.
Will an Embassy staff member be present on the buses, or will the chaperone be the sole supervisor during transportation? Embassy drivers will be available but not be bothered with requests Q7. Are there any restrictions on nationalities under this project? NA Q8. Please clarify the timings for morning service and afternoon service? Never the same, anything from 6:30 to 8 am and 11am till 3 pm, several different schools and with several timings that can change at any point during the day. Q9.
Is there any resting area for the attendants/Chaperones in between service hours to rest or contractor has to arrange? Not available Q10. Please clarify the Reporting section and can we bill separately for this service? All, any form of challenge, or issue Q11. Please clarify EFM? And if Chaperones have valid Iqama then do they also need an EFM? Please ignore EFM Q12. In page number 4 – Section 21 of the Solicitation document is showing the quantity as 100 and UOM as month. Shouldn’t the quantity be 12 months?
The unit of measure is 12 months, and the number of children is 100. Q13. In page number 8 – Section 5, Prepare written reports summarizing inspection findings, deficiencies, repairs, services needed, and corrective actions taken. Are the repairs, services mentioned for vehicles or the child restrain devices. We do not require a vehicle; we are requesting bus chaperone services only to support the children and behavioral issues Q14. No. of buses involved in this project, how many chaperones are required in one bus?
Chaperone per bus x 16 or at times more Q15. We are an American Company and would like to utilize our partner in KSA as a subcontractor for this project. Would there be any objection? Pending the Security clearance, if any arises, we will advise Notes for Interested bidders. All staff must level 1 First aid certified **international standards
