  1. Objective

The Robert J. Dole VA Medical Center (Dole VA) requires new surgical video equipment to replace the current video system that is end of life. All items shall be new, unused, and all equipment and accessories, software, installation, training, and project management support shall be provided by the vendor. The technical specifications for this requirement are described below.

  1. SCOPE OF WORK  \n\n\t
      \n\t\t
    1. Vendor shall adhere to all deadlines outlined in Table 1, below.
      2. \n\t\t
    2. If delays occur, the vendor must notify CO and POC in writing, at least 14 days in advance
      3. \n\t\t
    3. Any government requested delay for delivery, up to 90 days, shall be at no additional cost to the Government
      4. \n\t\t
    4. The Vendor shall provide all components required so that the equipment outlined in Section 3 is fully operational.
      5. \n\t\t
    5. The Vendor shall provide all missing parts, features, software, and/or components, not included, to fully complete the installation at no additional cost to the Government.
      6. \n\t\t
    6. The Vendor shall provide all labor, supervision, and any other resources required to deliver, assemble/install, and test all listed equipment.
      7. \n\t\t
    7. The Vendor is responsible for conducting training and in-services and shall provide all labor, supervision, and any other resources required for such training and in-services.
      8. \n\t\t
    8. All hardware, software, and services must meet the manufacturers and VA specifications.

    9. Facility is requesting removal of existing equipment, if there is a turn-in credit offered towards the cost/price of new equipment.

Such\n\nissues shall be remediated as quickly as is practical, but in no event longer than days.\n\n• When the Security Fixes involve installing third party patches (such as Microsoft OS\n\npatches or Adobe Acrobat), the vendor will provide written notice to the VA that the patch has been validated as not affecting the Systems within 10 working days. When the vendor is\n\nresponsible for operations or maintenance of the Systems, they shall apply the Security Fixes\n\nwithin days.\n\n• All other vulnerabilities shall be remediate as specified in this paragraph in a timely manner\n\nbased on risk, but within 60 days of discovery or disclosure. Exceptions to this paragraph (e.g. for the convenience of VA) shall only be granted with approval of the contracting officer and the VA Assistant Secretary for Office of Information and Technology.\n\n• SITE Conditions and Protection of Property\n\n• Vendor representatives must check in with Dole VA Biomedical Engineering when they arrive on-site and check out upon completion of work each day.\n\n• Vendor on-site visits shall be coordinated with the POC (or designee) before being scheduled or conducted.\n\n• There shall be no smoking or vaping on Dole VA premises at any time.\n\n• Eating and drinking are not allowed inside the hospital, except for in the Canteen Dining area.\n\n• Vendor staff shall always be professional and shall take all necessary precautions to maintain a safe environment for the occupants. This includes, as necessary, coordinating access and closures for sensitive areas of the Medical Center.\n\n• Vendor shall be responsible for cleaning all work areas after completion of tasks. This includes, but is not limited to, removal of packaging and a clean sweep/mop of the area as required by work type.\n\n• Vendors shall protect all items from damage. The Vendor shall take precautions against damage to the building(s), grounds, and furnishings. The Vendor shall repair or replace any items related to building(s) or grounds damaged accidentally or on purpose due to actions by the Vendor.\n\n• The Vendor shall perform an inspection of the building(s) and grounds with the POC prior to commencing work to ensure that the Vendor shall be able to repair or replace any items, components, building(s) or grounds damaged due to negligence and/or actions taken by the Vendor. The source of all repairs beyond simple surface cleaning is the facility construction Vendor (or appropriate subcontractor), so that building warranty is maintained. Concurrence from the VA Facilities Management POC and POC is required before the Vendor perform any significant repair work. The Robert J. Dole VA Medical Center (Dole VA) requires new surgical video equipment to replace the current video system that is end of life. All items shall be new, unused, and all equipment and accessories, software, installation, training, and project management support shall be provided by the vendor. The technical specifications for this requirement are described below.
